Track recurring subscriptions โ streaming services, software licences, memberships, and more. Each file is a Google Sheet in your Drive that stores the full billing history of each subscription.
โ Adding a Subscription
Tap + Add subscription, enter the name, type, and optionally a supplier, category, and tags, then set the first billing entry:
- Cost โ the amount billed each period (with sales tax input, see below)
- Billing period โ Monthly, Annual, etc.
- Start date โ when this billing period begins
- End date โ leave blank if the subscription is still active
๐งพ Sales Tax
Each billing entry can record its tax component: toggle whether the amount you enter is tax-inclusive or exclusive, pick a tax rate (e.g. GST), and the tax amount is calculated for you โ or override it manually. Manage rates and the default rate for subscriptions in System Settings โ Tax โ Tax rates.
๐ฒ Price Changes
When a subscription price changes, open the detail view and tap + Add entry. This adds a new billing entry while preserving the complete billing history. The summary card always reflects the current active entry.
โ Cancelling a Subscription
Open the subscription detail and tap Cancel subscription. The end date is automatically set to the day before the next renewal date, so the history remains accurate.
๐ Monthly Cost Summary
The summary card at the top shows the count of active subscriptions plus the total normalised monthly and annual cost. Annual subscriptions are divided by 12 for comparison.
๐ Linked Expenses
The Linked expenses tab on the detail screen connects a subscription to the expense entries that represent its payments:
- Add expense line โ create one expense for a chosen billing date
- Link existing expense โ attach an expense you already recorded
- Generate future expensesโฆ โ create one expense per upcoming billing date until a chosen date, marked with the Estimate status so you can confirm them later
๐ Aligning Expenses
When a price changes or the subscription is cancelled, previously generated future expenses may no longer match the schedule. โฎ โ Align expensesโฆ updates, creates, or removes estimate expenses so they match the current billing entries โ and the app offers to do this automatically after you save an entry or cancel.
๐ฏ Default Expense & Budget
On the subscription form you can set a default expense file, budget file, and budget item. Generated and linked expenses then land in the right place without prompting each time.
๐ฆ Account Transactions
Bank payments are linked from the other side: open the transaction in the Accounts module and add a Subscription allocation โ or let an import rule do it automatically.
๐๏ธ Subscription Types
Manage your subscription types (Streaming, Software, Membership, etc.) via โฎ โ Manage types, and billing periods via โฎ โ Manage billing periods. Both are stored per file.
๐ฑ Currency
Each entry records the currency it was billed in; linking to an expense file in another currency prompts for a conversion. See Multi-currency.
๐ค Shared Files
Tap โฎ โ Add shared file and paste a Google Sheets URL to view a subscription file someone else created. Read-only files are labelled.
