๐Ÿ“ Storage โ€” Change Root Folder

By default all Budget Clan files are created in a Budget Tracker folder in your Google Drive root. You can point the app at a different folder by pasting its Drive URL here. Useful for shared family drives or alternative folder structures.

Only the folder location changes โ€” no existing data is moved. New files will be created inside the new folder from that point onwards.

๐Ÿ—‚๏ธ Organisation โ€” Groups

Groups let you organise your files into named collections that appear as sections in the file chip bar. For example, group expense files by person or by category (House / Car / Work).

๐Ÿ“‚ Organisation โ€” Categories

Expense categories classify your spending (Groceries, Transport, Utilities, etc.). Categories support two levels โ€” a parent category with optional sub-categories โ€” plus a colour, icon, and hidden/inactive flags. Categories are used by Expenses, Income, Assets, Depreciation, and import rules.

Selecting a parent category in the Expenses filter also includes its sub-categories.

๐Ÿท๏ธ Organisation โ€” Tags

Tags are free-form labels you can apply to expenses, budget items, income entries, subscriptions, ongoings, receipts, and assets. Create tags with a name and optional colour. Tags are shared across all modules.

๐Ÿงพ Tax โ€” Tax Rates

Sales-tax/GST rates used by Receipts, Subscriptions, and Ongoings โ€” each rate has a name and percentage (or is marked manual for entering tax by hand). This screen also sets the default rate per module, pre-selected on new entries.

๐Ÿ’ฑ Currency โ€” Exchange Rates

A table of default exchange rates used when linking records across files with different base currencies. Each rate has a from/to currency pair, the rate, and a date it applies from โ€” the reverse direction is derived automatically. See Multi-currency.

๐Ÿงฎ Expenses โ€” Tax Deduction Categories

Tax deduction categories classify expenses for income-tax purposes (distinct from the sales-tax rates above). Each category has a deduction type (Immediate, Capital Works, Plant & Equipment, etc.) and can be toggled active/inactive. Only active categories appear in the expense entry form.

๐Ÿ“… Expenses โ€” Financial Year Settings

Set the start month and day of your financial year. This drives the FY grouping and financial-year date presets in the Expenses screen. For example, Australian FY starts 1 July โ€” set month 7, day 1.

๐Ÿšฆ Expenses โ€” Expense Statuses

Manage the workflow statuses available on expenses (New, Reviewed, Matched, Estimate by default) and pick the default status for new expenses. Statuses are informational flags โ€” an "Estimate" still counts toward totals.

๐Ÿฆ Accounts โ€” Account Types & Transaction Statuses

Account types โ€” manage the labels used when creating account files (e.g. Everyday, Savings, Credit Card, Loan).

Transaction statuses โ€” manage the statuses shown on bank transactions (New, Partial, Allocated by default). Transactions compute their status automatically from allocations unless you set one manually.

๐Ÿ—’๏ธ Receipts โ€” Receipt Statuses

Manage the workflow statuses for receipts and receipt lines (New, Submitted, Processed by default), and pick the default status pre-selected on new receipts.

๐Ÿ”— Data โ€” Rebuild Link Index

Scans all your files and rebuilds the cross-file link registry from existing links (allocations, expense links, and references). Run this once for files created before record linking was added, or if links seem out of date. Safe to run repeatedly. See Linking records.
